# Communications permissions catalog

> Every checkbox on the role editor for Notification Setup, Notifications, Messaging, and Chat, in plain English.

When you edit a role under **Settings → Access → Roles & Permissions**, you see a list of modules, and each module has a row of checkboxes. This page covers the four module groups that control how your organisation sends notifications and how people talk to each other (and to the AI assistant): **Notification Setup**, **Notifications**, **Messaging**, and **Chat**.

There are **10 modules and 50 checkboxes** across these four groups. Every module here follows the same five-checkbox pattern: **Add** (create new), **Edit** (change existing), **Delete** (remove), **View** (see it), **View All** (see everyone's, not just your own) — even where a module doesn't currently have a real feature behind every checkbox. Where that's the case, it's called out explicitly below rather than guessed at.

## Notification Setup

The connection settings for the two channels notifications go out on — SMS and email — before anyone can actually be reached. These are the provider accounts and credentials, not the act of sending itself (that's covered under Messaging, below).

### 1. SMS Providers

The SMS gateway your organisation sends text messages through (e.g. Twilio) — the account credentials, sender details, and which provider is active.

| **View All** | Same as View — this is a single organisation-wide settings list, not something split into "mine vs. everyone's." |

### 2. SMTP Accounts

The outgoing email server your organisation's emails are sent from — host, login credentials, and which account is the default.

## Notifications

Everything to do with the in-app/push notification inbox: registering a device to receive them, the personal inbox itself, and an admin-facing view of what's been sent across the organisation.

### 1. Device Tokens

The record of each phone or tablet registered to receive push notifications through the mobile app.

| Checkbox     | What it does                                                                                                                                                                            |

| **Add**      | Register a device to receive push notifications. In practice this happens automatically the moment someone logs into the mobile app, rather than being something a person does by hand. |
| **Edit**     | Keep a device's registration current — the periodic "still active" signal the app sends, or marking a device inactive when someone logs out.                                            |
| **Delete**   | Remove a device's registration, either one device at a time or all of a user's devices at once — useful when troubleshooting push notifications that have stopped arriving.             |
| **View**     | See which devices are registered.                                                                                                                                                       |
| **View All** | Same as View — device registrations aren't split into a broader "everyone's devices" view beyond what View already shows.                                                               |

### 2. Notifications

The personal notification inbox every user has — the alerts list that shows things like "your leave request was approved" or "a new invoice needs your approval."

| **Add**      | Send a notification to a chosen set of users — either directly, or as the mechanism other features use behind the scenes to alert people (for example, a workflow step notifying the next approver). |
| **Edit**     | Mark notifications as read, one at a time or all at once.                                                                                                                                            |
| **Delete**   | No delete action currently exists for notifications — this checkbox is reserved but doesn't unlock anything yet.                                                                                     |
| **View**     | See your own notification inbox and how many notifications are unread.                                                                                                                               |
| **View All** | Same as View for this module — there isn't a separate "see everyone's inbox" screen here. Seeing what's been sent *across* the organisation is what Notifications Admin (below) is for.              |

### 3. Notifications Admin

A reporting layer on top of the personal inbox above — browsing the history of notifications your organisation has sent, and how recipients responded to them. Not a separate way to send anything.

| **Add**      | No corresponding action currently exists — sending is handled by the Notifications module above, not this one.                                             |

| **Delete**   | No corresponding action currently exists.                                                                                                                  |
| **View**     | Browse the history of notifications your organisation has sent, along with delivery and read statistics for each — filtered to the ones you sent yourself. |
| **View All** | See that same history and statistics for notifications sent by anyone in your organisation, not just your own.                                             |

> **Note:** Only the two View checkboxes do anything for Notifications Admin today. Add, Edit, and Delete appear in the role editor but aren't wired to a feature yet.

## Messaging

Sending an email or text message outright, using the accounts configured under Notification Setup. In practice, most email and SMS sending is triggered automatically by other features — password resets, invoices, workflow alerts — rather than composed by hand.

### 1. Emails

Sending an email through your organisation's configured outgoing email account.

| **Add**      | Send an email — directly, or via the templated version other features use to email people automatically (for example, a password reset). |
| **Edit**     | No corresponding action currently exists.                                                                                                |

| **View**     | No corresponding action currently exists.                                                                                                |
| **View All** | No corresponding action currently exists.                                                                                                |

> **Note:** Emails is a send-only module today — there's no inbox or log inside the product to view, edit, or delete, so only Add does anything.

### 2. SMS

Sending a text message through your organisation's configured SMS gateway.

> **Note:** Like Emails, SMS is a send-only module today — only Add does anything.

## Chat

Real-time conversations between people, an AI assistant chat, and the files people share inside those conversations.

### 1. AI Chats

Reserved for a conversational AI assistant chat feature.

| Checkbox     | What it does                                                                          |
| ------------ | ------------------------------------------------------------------------------------- |
| **Add**      | Start a new conversation with the AI assistant.                                       |
| **Edit**     | Update an existing AI conversation (for example, its title).                          |
| **Delete**   | Delete an AI conversation from your history.                                          |
| **View**     | See your AI chat history.                                                             |
| **View All** | Same as View — AI conversations are private to each user, with no broader admin view. |

> **Note:** As of this writing, the AI assistant that's actually live in the product — Hitaji Brain, which can answer questions about your data and take actions on your behalf — sits behind its own separate permission, not this one. AI Chats doesn't have a confirmed screen wired up to it in the current app; treat these checkboxes as reserved for a future or renamed feature rather than something currently in use.

### 2. Chat Files

Files attached to chat messages — images, documents, and other attachments shared inside a conversation.

| **Edit**     | No corresponding action currently exists.                                                           |

| **View All** | Same as View — file visibility follows conversation membership, not a separate, broader admin view. |

### 3. User Messages

The real-time chat feature itself — direct messages and group conversations, plus the contacts, invitations, calls, scheduled messages, and reminders that live alongside it.

| **View**     | See your conversations, messages, contacts, and call history.                                                                                                                               |
| **View All** | Not meaningfully different from View in the current product — conversations are only ever visible to the people in them, so there's no admin capability to browse everyone's private chats. |
